RULES & REGULATIONS

 Brain Master—South Surrey, British Columbia

1. Registration Process & Automatic Payment Policy

To ensure a smooth and efficient experience for families enrolling in Brain Master programs, please review the following steps and policies regarding registration and fee payment.

1.1 Registration Process

  • Registration must be completed online through our official portal or in person at the centre.

  • A completed registration form must include:

    • Student information

    • Parent/guardian contact details (Phone number & email address)

    • Program(s) selected

    • Emergency contact

  • A non-refundable registration fee of $77 will be applied for new enrollment. A 10% discount on the registration fee will be offered for siblings.

1.2 Tuition and Fees

  • All fees are due monthly and must be paid in advance by the first day of each month.

  • Tuition is based on the program schedule and not on student attendance.

  • Please note that all fees are non-refundable, and refund requests will not be considered under any circumstances.

1.3 Automatic Payment Authorization

  • Upon registration, parents must enroll in our automated payment system (credit card or direct debit). A pre-authorization payment is required.

  • Monthly payments will be automatically withdrawn on the 1st of each month.

  • E-transfer are acceptable through info@brainmasterinc.com

  • All cheques are payable in the name of Brain Master Inc.

  • In case of declined payments, a $40 administration fee will be charged. Payment must be resolved within 3 business days to avoid interruption in service.

  • If a parent wishes to discontinue enrollment, a written notice must be provided 60 days in advance to stop automatic billing.

2. Media Consent Policy

Brain Master occasionally documents classroom activities for promotional, educational, and celebratory purposes. This may include photographs, videos, or audio recordings of students.

2.1 Consent Terms

  • During the registration process, parents/guardians will be asked to sign a Media Consent Form.

  • Media may be used on:

    • Our website and social media platforms

    • Printed brochures and internal presentations

    • Educational materials or news articles

    • For comprehensive details, we encourage you to refer to our Media Release Form.

3. Rules and Regulations of Brain Master—South Surrey

To maintain a positive and productive learning environment, all students and families must adhere to the following rules:

3.1 Attendance and Punctuality

  • Students are expected to attend all scheduled sessions on time.

  • All students must log in at the Time Attendance Station upon arrival and log out before leaving the premises, as required by our attendance policy.

  • Repeated late arrivals may result in warnings or discussions with parents.

  • If you know in advance that your child will be unable to attend a scheduled class, we kindly request that you inform Brain Master as early as possible. This allows us to reschedule their session on another day and ensure that all students remain well-connected with the program and can follow along effectively.

3.2 Behavioural Expectations

  • Students must respect teachers, peers, and the learning space.

  • Bullying, disruptive behavior, or vandalism will not be tolerated and may lead to dismissal.

3.3 Health and Safety

  • If your child is unwell, please keep them at home to protect other students and staff.

  • The centre reserves the right to send home any child showing signs of illness.

  • Parents and guardians are expected to take responsibility for any damages to property or harm caused to others resulting from the actions of their child(ren), whether intentional or accidental.

  • While Brain Master takes every reasonable precaution to ensure a safe and secure environment, we cannot accept responsibility for injuries resulting from the actions or negligence of a child or their parent/guardian. Parents and guardians are expected to ensure their child’s conduct aligns with safety guidelines at all times.

  • Emergency contacts must be up to date at all times.

3.4 Parent Communication

  • Parents are encouraged to communicate regularly with instructors.

  • Monthly progress updates or meetings may be scheduled as needed.

3.5 Pick-Up and Drop-Off

  • Students must be dropped off and picked up promptly.

  • Brain Master is not responsible for children outside of scheduled class times.

3.6 Withdrawal Policy

  • To withdraw a student from any program, a minimum of 60 working days' written notice is required by email at info@brainmasterinc.com

  • No refunds are provided for partial months.

Copyright & Use of Educational Materials

1. Copyright Notice

All educational content, including but not limited to worksheets, books, training materials, and digital resources, is the exclusive intellectual property of Brain Master Inc. and is protected under the Copyright Act of Canada and international copyright treaties.

No part of these materials may be copied, reproduced, stored in a retrieval system, or transmitted in any form — including but not limited to electronic, mechanical, photocopying, recording, scanning, or translation—without prior written consent from Brain Master Inc. This includes uploading to cloud storage, learning platforms, or sharing via email, messaging, or physical duplication.

2. Permitted Use

Materials are provided strictly for:

  • Personal educational use during active enrollment or participation in a Brain Master Inc. program.

  • Non-commercial purposes only.

Any use outside this scope—including commercial distribution, resale, modification, or public sharing — is strictly prohibited.

3. Ownership and Return of Materials

All educational materials remain the sole property of Brain Master Inc. and must be returned or securely deleted upon:

  • Completion or withdrawal from the program, or

  • Written request from the company.

Possession of materials does not transfer copyright or ownership rights to the user.

4. Consequences of Violation

Violation of these terms may result in:

  • Immediate revocation of access to materials and training,

  • Legal action under applicable Canadian and international copyright laws,

  • Financial penalties for damages resulting from unauthorized use, reproduction, or distribution.

5. Authorization Requests

To request written permission for any use of materials beyond the permitted personal, non-commercial scope, including reproduction, distribution, translation, or integration into third-party platforms, please contact info@brainmasterinc.com.

All such requests must be submitted in writing and are subject to review and approval by Brain Master Inc. Please note that authorization may involve licensing terms and applicable usage fees, depending on the nature and extent of the request. Unauthorized use, even if unintentional, may result in legal and financial consequences.

 

Acknowledgment

Parents/guardians will be required to sign an acknowledgment confirming they have read, understood, and agree to the above policies at the time of registration.
